Neo1 includes the ability to create guest travelers who are not full time employees. This is useful if your company allows travel to also be booked for employees family, or for non employees such as contractors.


To be able to create guests, and book travel for guest users, the account of the Neo1 user must have been assigned the Travel Host role. An admin guide on assigning this role to user accounts is available here: Link to article


As a user, if you have the Travel Host role, you can create and work on behalf of a guest traveler by following these steps:


Creating a new Guest


To create a new guest traveler, follow these steps:


1. Log in to Neo1 and select Travel from the left hand menu (or just the book travel shortcut)




2. Select Guests from the top menu. This will show you any guests already created



3. Click the plus button to create a new guest, and complete the profile details. Click Done when you have finished.




4. Once clicked done your new guest will show as a card on this screen. You have now successfully added your guest traveler. 




Booking travel for a guest


To work with an existing guest, or create a new guest on the fly, follow the following steps:


1. Click Travel on the main left hand menu and click Book / Book a trip



2. On the booking type selector, chose the option An existing guest, and select your guest from the dropdown. Alternatively, you can create a new guest on this page on the fly using the A new guest option. When you have made your selection, chose Save and go to travel



3. The travel booking system will load. Click on Create trip to get started with booking a trip for your guest




Note: The guest will inherit the payment methods used for booking travel from the travel host.



Viewing booked trips for a guest traveler

 

To view the trips currently booked for s guest, and to make changes or cancel trips, follow these steps:


1. Log in to Neo1 and select Travel from the left hand menu (or just the book travel shortcut)



2. Select Guests from the top menu. This will show you any guests already created



3. Locate your guest, and click on See booked travel



4. Once the booking tool has loaded, click on Trip List. Here you can view and manage existing bookings.
